At time of booking/reservation the guest must provide credit or debit card details. We can take Visa, Mastercard or Amex but for Amex the surcharge is 3.4%.
Any guest who makes a booking can cancel free of penalty if they cancel more than 21 days prior to the booking check in date.
If booking is made 21 days or less prior to check in date we are authorised to take a 25% non refundable deposit at time of booking. The balance of the booking price will be payable within the 48 hours prior to your arrival.
For bookings made more than 21 days prior to check in, we are authorised to take a 25% non refundable deposit at 21 days prior to the check in date and the balance of the price within the 48 hours prior to your arrival.
If the booking is cancelled within the 21 day period but more than 7 days before check in date, we will only keep the 25% deposit.
For bookings made within the 7 days prior to your check in date we are authorised to take an immediate 25% non-refundable deposit and the balance on your arrival day. If the booking is cancelled within 48 hours of your check in date or if there is a no-show we are entitled to the balance of the booking price.
If booking is cancelled within 7 days of check in date we are authorised to take the full booking price from the card and send the guest an invoice/receipt.
In all other cases, if booking made more than 7 days out from the check in date is cancelled within 7 days of the check in date we are authorised to take the full booking price from the card and send you an invoice/receipt.
Last Minute Booking Terms
A last Minute Booking is one made within 48 hours of check in time.
The latest check in time is 9 pm. We do not allow any check in after 9 pm.
Valid credit card details must be provided when making the booking.
Payment of the full booking fee will be taken immediately after the booking is received.
If credit card is invalid the booking will be immediately cancelled.
The booker must provide a mobile phone number.
Corporate Booking and Cancellation Policy
Our advised corporate rates will apply to any corporate booking.
To claim the corporate rate just request it when making the booking.
Company Name, Company Contact Person and Contact details must be provided at time of booking.
Corporate credit card name, number and expiry date must be provided at time of booking.
If booking made more than 21 days before the check in date, no deposit is required and booking can be cancelled without penalty up to 21 days prior to check in.
We are authorised to take a 20% deposit 21 days prior to the check in date.
If booking is cancelled later than 7 days before the check in date, or the guest does not show up, we are authorised to debit the full booking price from the card.
Non-Refundable Rate Bookings
If you select one of our Non Refundable rates for your booking then the following booking terms and cancellation policy applies –
The full booking price may be taken from your nominated card at any time after the booking is made.
The full price is strictly non-refundable.
If you cancel the booking or there is a no-show on the booked dates there will be no refund of the price or any part of the price.
No extras such as free continental breakfast will be included in the price but may be separately purchased when making the booking or upon your arrival.
Children Age Restriction
Please note that Madsen Retreat has an age restriction that applies to children –
We currently only accept bookings that include children where the children are either infants (0-2) or 15 years or older.
This is because we are a small boutique guest house where our adult customers are looking for a quiet and peaceful environment to relax.
Whilst we love children of all ages, the simple fact is that children between 2-15 are quite often noisy and disturb our other adult clientele.
It is also not fair on those children to impose too many rules on their behaviour during their stay.
However, if you may still send us a booking enquiry if you have children between 2-15 years old and let us know if you think your children will be compatible with our house rules.
Our Check in and Check out Terms
All booking guests need to advise an estimated time of arrival (ETA) as soon as possible after making a booking.
Normal check in time is from 2pm until 9pm.
No check in is permitted after 9pm unless by prior arrangement with the owners.

MADSEN RETREAT PET POLICY
These are the policy terms and conditions that will apply to any booking where a guest would like to bring a pet –
“Pet” means “dog”.We do not accept any other kind of pet animal.
The guest/pet owner must let the guest house manager know the type and size of the dog as soon as possible after making the booking.
Only one dog may accompany a guest for each room that is booked. Any exception to this rule must be agreed to by the guesthouse manager before making the booking.
The dog must be fully house trained, socialised and present no risk to anyone else staying at the guesthouse.
The pet owner may permit their dog to run around in the enclosed yard but must ensure the dog is always supervised and does not cause a disturbance by yapping or howling.
The pet owner is responsible to pick up any dog messes (waste bags are provided). These waste bags can be deposited in our green waste bin.
The guest/pet owner is responsible to ensure that their pet does not jump on any bed or sofa unless it is protected by a throw/cover. We provide these if needed on request.
The guest/pet owner agrees to accept liability for any property damage caused by the pet and authorises the guest house to debit his/her credit or debit card to cover the cost of repairs or replacement of damaged property.
The guest agrees to pay an additional room cleaning fee of up to $50 if the room needs extra cleaning due to pet hair, dirt or sand left by the pet in the carpet or on any bed or sofa covering.
Due to higher cost of cleaning products we charge $20 per pet per night. If guests stay more than 3 days or more the maximize cleaning fee of $50 will be charged - payable when you book in.
